SMS Consent & Opt-In Flow

This page describes — for carrier and regulator review — how clients consent to receive SMS appointment reminders from Beacon by ASF Services. It supplements our Privacy Policy and SMS Terms and Conditions.

Beacon does not offer public self-enrollment in SMS reminders. There is no public form on this website where a member of the public can submit their phone number. Opt-in is staff-assisted only, captured during the existing client intake process described below. We publish this page so reviewers can verify the consent flow without needing access to the authenticated case management application.

Program at a glance

Step 1 — Verbal or written consent at intake

During in-person or telephone intake, an ASF Services case manager reads or presents the following:

“Would you like to receive text message reminders for your appointments with us? It’s optional — you’ll receive the same services either way. If you say yes, we’ll send you a confirmation text and you’ll need to reply YES to start receiving reminders. You can stop them at any time by replying STOP. Message and data rates may apply.”

The client’s response (yes / no) is recorded on the intake form. Clients who decline continue to receive the same services via phone calls and email. Consent is never a condition of receiving services.

Step 2 — Case manager enters the mobile number

Only after the client has affirmatively agreed does the case manager enter the client’s mobile number into the authenticated Beacon web application. The case manager interface displays the same disclosures (frequency, rates, STOP / HELP, voluntary consent) above the phone-number field, and requires the case manager to check a confirmation box stating that the client gave express consent.

Every opt-in action is written to an internal consent log with timestamp, channel (web), recipient phone number, and the staff user who initiated it.

Step 3 — Double opt-in confirmation SMS

Immediately after the case manager submits the mobile number, Beacon sends a single confirmation SMS to that number. This is the first and only message the recipient receives until they reply YES. The exact text is:

Hi {first name}, you've been added to appointment reminders from Beacon by ASF Services. Reply YES to confirm. Msg & data rates may apply. Reply HELP for help, STOP to opt out.

No reminder messages are sent unless and until the recipient replies YES. If the recipient does not reply, or replies anything other than YES, they remain un-enrolled.

Step 4 — Ongoing reminders (only after YES)

Once the recipient has replied YES, Beacon sends two reminders per appointment: one 24 hours before and one 2 hours before. Sample messages:

Recipients can reply YES to confirm or NO to cancel the appointment; either updates our records. Reminder messages contain only the appointment date, time, and city — no provider names, appointment types, or clinical details. Sensitive information lives behind authentication in the client portal.

The /portal/my-caselink in every reminder opens the recipient’s authenticated case view, which requires login. Reviewers can inspect a public, no-login replica of that destination at /sms-consent/sample-case.

Opt-out (STOP)

Recipients may opt out at any time by replying STOP to any message. STOP triggers an immediate unsubscribe confirmation and halts all further SMS to that number. A case manager can also disable SMS reminders for a client from the Beacon web application on the client’s request. STOP and case-manager-initiated opt-outs are both written to the consent log.

Help (HELP)

Replying HELP to any message returns the following auto-reply:

Beacon by ASF Services appointment reminders. Msg frequency varies. Msg & data rates may apply. Reply STOP to opt out. For help with your appointment, contact your case manager.

Recipients can also email support@asfservices.com for support.

Voluntary consent

Consent to receive SMS reminders is entirely optional and is not a condition of receiving case management services, legal services, or any other service from ASF Services. Clients who decline SMS continue to receive the same services via phone calls and email.

Privacy & information sharing

Mobile information collected for this program is not shared with third parties or affiliates for marketing or promotional purposes. Information sharing is limited to subcontractors that support message delivery (for example, our SMS gateway provider), to the extent necessary to deliver the reminders the recipient requested. Carrier & regulator review contact

Carriers, registry vetters, and regulators reviewing the Beacon SMS program can request additional information — including screenshots of the case manager opt-in interface and exports from the consent log — by emailing support@asfservices.com with the campaign or brand identifier.
